Create or update your club

Club Paperwork Dropbox

Directions: All of the documents from steps 1-3 must be dropped into the New Club Paperwork Dropbox.

Document Title: Please label all of your documents with your club name followed by: _20. For example: Internationalclub_20.

To upload your document:
  • Save the document to your files
  • Click on the New Club Paperwork Dropbox button on the right
  • Create a folder for your club within the drive
    • Upload all of your documents to that folder

Step #1 - General Information

  • New clubs must fill out the club information update form and submit it to the online dropbox.
  • Current clubs needing to update their information need to complete this form and submit it to the online dropbox.

Step #2 - Club Constitution

Fill our the Club Constitution Template ​or create your own original constitution. A club constitution acts as a set of rules for your club that must be upheld at all of your club functions. All clubs must have an updated constitution on file. Your constitution is good for three years and will need to be updated accordingly. Once you have updated/created your constitution you can upload your document to the online dropbox.

Step #3 - Club Budget

Whether you plan to raise money or not, every club must create a club budget in order to be an official club. Follow the instructions to create your budget.

Step One: Go through the budgeting PowerPoint before attempting to create your new budget

Step Two: Download and fill out the Budget Worksheet using the following steps:

A) Fill in the following information on your budget worksheet:
          * ASB Code: If your club is already established and has been raising and spending money, this information can be obtained by                                     Ms. Mann or Ms. Plesha. Please come see them during their office hours. 
                     NOTE: If you are a new club, you do not have and ASB Code yet and can leave this space blank.
          * Group/Cost Center Name: This is the name of your club
          * Calculating your beginning balance:
                1. Take the amount that is currently in your account (new clubs have $0.00) 
                2. Subtract any expenses you anticipate having while the paperwork is being processed.
B) You are now ready to begin putting together your budget. 
  • When you are finished creating your budget, please save it into your personal files as: yourclubname_YEAR or yoursportsname_YEAR

TIPS: Place a parentheses ( ) around the expenditures in your budget worksheet, this will automatically subtract that amount from your ending balance.

Step #4 - Wait For Confirmation

The club advisers will review your application and send you an email letting you know that you can begin meeting as an official club. If you do not receive notification within a week of completing your application, email rhsasr@gmail.com or stop by room 109 during Rider Time.
