Purchase Orders: Using a purchase order is the best way to use your club funds because you do not have to pay for anything out of pocket. To use a purchase order, you must first:
Check with Ms. Bauer (rcbauer@seattleschools.org) to find out how much money is in your club account. You can only spend money that you have! You can send an email or go to the fiscal office, located in the commons, before or after school or during your lunch.
Call the company you wish to do business with and ask if they take purchase orders. If they do, move on to step #2. If they don't, see the reimbursement section.
Obtain a quote from the company for the goods or services you wish to purchase.

Attach the quote to the Payment Order form
Submit paperwork to Ms. Bauer
Personal Reimbursements: Paying out of pocket and getting reimbursed is another way to use your club funds when a purchase order is not an option. To get use club funds and get reimbursed, you must first:

Ask for and keep an itemized receipt for items purchased. Some places won't automatically provide an itemized receipt - be sure to ask for one!
If you are buying food for your club, make a list of all of the club members who ate the food - this will need to be provided for a reimbursement.
Complete the Reimbursement form.
Make a copy of your receipt for your own records and attach the original receipt to the reimbursement form.
If getting reimbursed for food, provide a list of students who ate the food with your receipt.
Submit paperwork to Ms. Bauer.
NOTE: You must be at least 18 to be reimbursed. If you are not 18 but spent the money, your parent or guardian will need to be reimbursed.
